The five messages

Every appointment booked by hand costs the same exchange: what times do you have, are you free Thursday, not that late, how about Friday morning, yes see you then. Five messages for one slot, repeated for every customer, mostly while you are working on someone else.

The cost is not the typing. It is that you answer the fifth message an hour late, and by then they booked somewhere that answered first. A booking lost that way never looks like a lost booking. It looks like a conversation that stopped.

Put the calendar where the question is

Mark availability honestly

The failure mode of any booking system is a slot that was not really free. Block the hours you are already committed, leave the gaps you genuinely want filled, and keep a buffer around anything that tends to overrun. A calendar that lies is worse than no calendar, because the customer finds out on the doorstep and tells other people about it.

Be careful with the edges of the day. The 8am slot you left open because it looked tidy is the one that gets booked by someone who is not a morning person either, and one of you will regret it.

Decide what a booking includes

Before you publish anything, write down what the customer is agreeing to: how long it takes, what they should bring, and what happens if they are late. Put those two lines in the service description. Most no-shows and most awkward conversations start as an assumption that was never written anywhere.

If different services take different lengths of time, set them up separately rather than averaging. An hour blocked for a twenty minute job is two other bookings you did not take.

What to send after a booking

The thread is still open, so use it. A short message the day before, in the same chat, costs you one line and removes most no-shows. Auto-responses and the scheduler can carry that for you once you know what the message should say, which you will after a fortnight of sending it by hand.

Keep the reminder short and specific: the time, the place, and one sentence about what to bring. A long reminder reads like marketing and gets ignored by the people most likely to forget.

Start with one service

Put one service and a week of real availability in first, and run it for a few days before adding the rest of the menu. You will learn which slots people actually pick, and that changes what you offer more than any setting does. Most people discover their evenings book out and their Tuesdays do not, and then reshape the week around it.
